What a Good Internship Letter Does

Most internship adverts in Kenya, whether from a county government, a state corporation under the Public Service Commission internship programme, a bank or an NGO, receive hundreds of applications. The person reading them usually spends less than a minute on each letter. A good letter makes three things obvious fast: which internship you are applying for, whether you meet the basic requirements, and one or two reasons you would be useful.

The tool handles the layout and the standard opening and closing lines. The two boxes under “Why you” are deliberately left for you to write. Employers can spot copied paragraphs, and a letter that sounds like everyone else’s will not stand out. Write about real things: a project you finished, a club you led, software you can use, a part-time job that taught you to deal with customers.

Tips Before You Send It

  • Match the advert exactly. Use the internship name and reference number from the advert in your RE: line. Many public bodies sort applications by reference number.
  • Address a person if the advert names one. If it says “The Director, Human Resource”, use that title in the “Addressed to” field.
  • Keep it to one page. Three short middle paragraphs are enough. Your CV carries the detail; you can make one with our free CV builder.
  • Attach what the advert asks for, nothing more. Public service internships often require copies of your national ID, KCSE and degree or diploma certificates, and sometimes a KRA PIN. Read the list in the advert and follow it.
  • Check the deadline in East Africa Time. Late applications are rarely considered.
  • Save it with your name. The PDF downloads as “internship-application-letter-your-name.pdf”, which is easier for HR to find than “letter.pdf”.

Graduates and Final-Year Students

Choose “a recent graduate” or “a final-year student” in the form and the opening line changes to match. Some internship programmes only accept people who have already graduated, so check eligibility before you apply. If you still need a placement as part of your course, that is an industrial attachment rather than an internship, and our attachment letter generator is the better fit.

Never Pay for an Internship

Genuine internship programmes do not charge application or placement fees. If someone asks you to pay to secure an internship slot, treat it as a scam and report it to the Directorate of Criminal Investigations on 0800 722 203. You can paste any suspicious message into our fake job advert checker to see the warning signs.

Once your letter is ready, set up free job alerts so new internship openings reach your email, and browse current openings on our jobs pages.

Sending by email? Paste the text into the email body and attach the PDF too. Use a clear subject line such as “Application for Finance Internship, Ref KPA/INT/2026”, and send it from a professional address built on your name rather than a nickname.
