Office skills that remain in demand

Secretarial certificates have changed with technology, but the core skills of organising an office, managing correspondence, keeping records, taking minutes and handling visitors and calls remain in demand. Courses at technical institutes and private colleges usually cover office practice, typing and keyboarding, computer applications, communication skills, records management and basic bookkeeping, typically over one year.

Roles you can apply for

  • Receptionist and front office assistant in hospitals, schools, hotels and corporate offices
  • Office assistant, clerical officer and records clerk in SMEs, NGOs and public institutions
  • Secretary or personal assistant to a manager in smaller organisations
  • Data entry clerk and customer care assistant

Entry requirements

Most colleges accept a KCSE mean grade of D (plain) for certificate level. Exams may be set by KNEC or, under competency-based programmes, assessed through TVET CDACC; confirm which applies before you enrol, and check that the college is registered.

What employers look for

Recruiters for office roles judge presentation and communication from the very first contact, so your CV, cover letter and phone manner matter as much as the certificate. Fast and accurate typing, confident use of Word, Excel, email and calendars, and good written English and Kiswahili are expected. Discretion is important because office staff often see confidential information. Our CV guide covers how to present short-course qualifications well.

Pay and conditions

Receptionist and clerical salaries vary widely between small firms and larger organisations. The general wage orders set minimum rates for roles such as receptionist and clerk, which are explained in our minimum wage guide; check any offer against them.

Progression

With experience, and often a diploma in secretarial studies or office administration, you can move into executive assistant, office manager or administration officer roles. Executive assistants to senior leaders are well paid in Kenya and value organisational skill above formal qualifications.

Typing speed tests are still common for office roles, so practise until you can type quickly and accurately without looking at the keyboard.
