How to Write a Cover Letter in Kenya (With a Sample Structure)

A well-written cover letter in Kenya can be the reason a recruiter opens your CV instead of moving to the next application. Many Kenyan adverts still say “send your CV and cover letter”, and when two candidates look similar on paper, the one who explains clearly why they want this job, at this organisation, usually gets the call. Here is a simple structure you can reuse, with tips specific to Kenyan employers.

When you need a cover letter

Send a cover letter whenever the advert asks for an “application letter”, “cover letter” or “letter of motivation”, and for most NGO, government and corporate roles. If you are applying by email, your email body can act as a short cover letter, with the full letter attached as a PDF. For quick applications on job portals that offer no upload field, a strong CV and a short message are enough.

How long should a cover letter be?

Keep it to one page: roughly 250 to 400 words in three or four paragraphs. Recruiters reading dozens of applications for one job will skim anything longer.

The four-paragraph structure

1. Opening: the job and your headline

Name the exact job title and reference number if one is given, and say where you saw the advert. Then give one sentence that sums up why you fit. For example: “I am applying for the Accounts Assistant position (Ref: FIN/2026/14) advertised on JobInKenya. I am a CPA (K) holder with three years’ experience preparing monthly payroll and iTax returns for a Nairobi SME.”

2. Why you can do the job

Pick the two or three most important requirements in the advert and show evidence for each. Use numbers and short examples, not adjectives. “I reduced month-end closing from eight days to five” is more convincing than “I am hardworking and detail-oriented”.

3. Why this organisation

Show that you know what the employer does. Mention a programme, product, region or value from their website or annual report and connect it to your experience. This paragraph is what separates a tailored letter from a copy-and-paste one.

4. Closing: availability and call to action

Thank them, state your availability (for example, “I can start within 30 days”), and say you look forward to discussing the role. Mention that your CV is attached.

How to address a cover letter in Kenya

Use the name of the hiring manager or HR officer if the advert gives it, for example “Dear Ms. Achieng”. If no name is given, “Dear Hiring Manager” is safer than “Dear Sir/Madam”. Government and county adverts often specify the addressee, such as “The Secretary, County Public Service Board”, so copy that exactly, including the postal address if requested.

Formatting tips

  • Use the same font and header as your CV so the two look like a set.
  • Include the date and the job reference.
  • Save as a PDF named clearly, for example Brian-Otieno-Cover-Letter-Logistics-Officer.pdf.
  • If emailing, put the job title and reference in the subject line, exactly as the advert asks.

Mistakes that cost interviews

  • Repeating your CV line by line instead of choosing your best evidence.
  • Sending a letter addressed to a different company. Always proofread names.
  • Focusing on what you want (“I need a job to grow”) rather than what you offer.
  • Mentioning salary unless the advert asks for expected pay. If it does, give a researched range and check what it means in take-home pay with our gross-to-net calculator.
  • Very long paragraphs. Short paragraphs are easier to read on a phone, which is where many recruiters first see your email.

Writing a cover letter with little experience

Fresh graduates can draw evidence from industrial attachment, internships, university projects, volunteering and leadership roles in clubs or church groups. Show the skill, then the result: “As treasurer of the Business Students’ Association, I managed a KSh 300,000 budget and presented audited accounts to 200 members.” Our guide to internships in Kenya explains how to build that experience.

A quick sample outline

  1. “I am applying for the [Job Title] role advertised on [site] on [date]. With [X years] of experience in [field], I am confident I can [key result the employer needs].”
  2. “In my current role at [Employer], I [achievement with number]. I also [second achievement linked to the advert].”
  3. “I admire [Organisation]’s work on [specific programme], and I would bring [relevant skill] to support it.”
  4. “Thank you for considering my application. My CV is attached, and I am available for an interview at your convenience.”

Cover letters for email applications

When an advert says “send your application to recruitment@company.co.ke”, the email itself is the first thing the recruiter reads. Keep the body to four or five lines: the role and reference, one sentence on why you fit, a note that your cover letter and CV are attached, and your phone number. Attach both documents as PDFs, and never send an empty email with only attachments. Use a professional address based on your name, and check the subject line format the advert requests, because some employers filter applications automatically by subject.

Key takeaways

  • Keep it to one page and tailor every letter to the employer.
  • Lead with the job title and your strongest qualification.
  • Prove two or three requirements with numbers and examples.
  • Show you know the organisation, then close with your availability.
  • Proofread names and the reference number before sending.
