Position Description:

Reporting to the Community Initiative & Humanitarian Aid Manager, the Warehouse Coordinator will be Responsible for managing safe storage of humanitarian aid supplies, having coordinated the logistics for importation and safe delivery to the warehouse in liaison with Executive Country Director.

Location: NAIROBI

Essential Responsibilities:

  • Work closely with the Community Initiative and Humanitarian Aid Manager to manage all the logistics of importation of humanitarian aid.
  • Ensure timely and relevant information and advice to the Community Initiative & Humanitarian Aid Manager on imported donations, bearing in mind all humanitarian needs are generated from FHC managers and their teams.
  • Work closely with agents to facilitate importation requirements.
  • Ensure related importation charges are approved and paid in timely and secure fashion.
  • You are in charge of secure storage and distribution of all humanitarian aid and missions- related supplies through FHC managers and teams, as will be approved by executive director.
  • Preserve and manage inventory and records of all humanitarian aid in storage, ensuring it is safe, kept in clean condition and well labelled for further distribution.
  • Manage all customs clearance of humanitarian aid in liaison with executive director and approved agents, ensuring the aid is safely delivered and offloaded for storage.
  • Manage smooth delivery of aid to warehouse, working closely with executive director, approved agent and driver, ensuring driver is guided properly to access warehouse facility.
  • Manage smooth and safe offloading of humanitarian aid working closely with the Community Initiative & Humanitarian Aid Manager, vetting and closely supervising all off-loaders, ensuring safety for everyone.
  • Ensure humanitarian aid is distributed within specified time limits to beat expiry or related losses.
  • You are responsible for the warehouse premises, to ensure all exits, entrances are secured, proper installation of all fire-fighting and safety equipment, tidy arrangements of items in the warehouse, regular cleaning of warehouse, and timely payment of all utility bills.
  • Conduct regular and thorough inspections of the warehouse taking note of any aspects that may need reinforcement, repairs, adjustments or complete overhauling and inform your supervisor accordingly.
  • Manage any visitors and casual workers at the warehouse ensuring safety for all and relevant information to them as may be required.
  • Ensure the key parts of the warehouse are safe from negative effects of natural elements like the sun, rain, and pests.

Qualifications

  • 1-2 years’ work experience in a similar role in a Warehouse.
  • Bachelor’s Degree in Business Administration or a related course essential.
  • Basic Computer Skills in Microsoft Office.
  • Working knowledge of Inventory Management System.

Key Competencies

  • Inventory Management-Accurately track, counts, and records inventory and maintain proper stock levels and identifies discrepancies.
  • Shipping & Receiving-Process incoming and outgoing shipments efficiently and verify content against purchase orders or invoices.
  • Documentation & Record-Keeping-Complete shipping forms, labels, and inventory records correctly.
  • Order FulfillmentPick, pack, and prepare orders according to specifications ensuring correct items and quantities are prepared.
