Role Summary
The Job holder will ensure security and safety of all records and documentation including guiding on records creation, disposal, maintaining, and updating records thus enabling the realization of the organization’s mandate.
Duties And Responsibilities
- Maintaining files in good order and ensuring information is secure;
- Filing of all correspondences in respective files;
- Coding files and documents for easy identification and retrieval;
- Controlling access to the filing room;
- Distributing requisitioned files and follow up on delayed returns;
- Recording and monitor the movement of files to and from the registry;
- Providing all files needed within and outside the organization to the authorized staff;
- Ensuring that data contained in the files is correct and certified where necessary;
- Archiving all old files Archiving guidelines;
- Recording all mail accordingly before distribution; and
- Scanning and index information and incoming mail where required before filing or distribution.
Requirements For Appointment
- Served for a minimum period of three (3) years at the grade of Records Management Officer or a comparable position;
- Bachelor’s Degree in Record Management, Archiving, or Information Science or relevant and equivalent qualification from a recognized institution;
- Proficiency in computer applications;
- Fulfilled the requirements of Chapter 6 of the Constitution; and
- Shown merit and ability as reflected in work performance and results.
