The Role
- Provide direct administrative assistance including diary planning and organisation / scheduling of online calls & meetings, and in person appointments when travelling.
- Coordinate with the Logistics & Admin Officer to book and arrange travel, transport & accommodation, and plan itineraries.
- Support in tracking key deadlines and deliverables relating to the President’s commitments and make reminders about deadlines.
- Support in monitoring emails, highlighting for attention as needed.
- Pro-actively manage time zones when scheduling.
- Assist in coordinating leadership meetings, taking minutes, tracking actions, and follow-ups.
- On request attend other meetings / calls to take notes and prepare these for distribution amongst the other attendees.
- Assist in preparing and organising documents, presentations, and reports as requested.
- Organise online filing systems, documentation and other general administration, actively put processes in place as required.
- Liaise with the GRC leadership team and project leads to follow up on tasks, receive updates, plan schedules etc.
- Maintain absolute discretion in handling sensitive or organisational information.
- Perform other related duties as assigned by the GRC President only.
Your Background
- 2.5+ years experience in a similar PA or administrative support role.
- Strong communication and interpersonal skills.
- Detail-oriented, process-driven, and very well-organised.
- Ability to work independently and collaboratively as part of a remote team.
- Strong multitasking, planning, and time management skills, resilient to deal with changing plans / itineraries.
- Demonstrated ability to handle highly confidential information with discretion.
- Hands on, can do attitude.
- High level of proficiency in Microsoft Office, Google Workspace, and MS Teams.
- Confident in English, both written and verbal skills.
