Job Description
This is a remote position.
- Oversee driver pre-shift vehicle inspection reports (DVIRs), follow up on outstanding issues, and escalate when required.
- Receive incoming orders from various channels, validate order data, and upload to our dispatch system.
- Create and manage a variety of job types, including commercial, residential, photo shoots, equipment installations, one-off, and recurring runs.
- Configure, send, and monitor customer ETA notifications (TMS) as per account requirements.
- Communicate with warehouses, branches, showrooms, and fulfillment teams regarding incoming and outgoing shipments, changes, and coordination.
- Process fulfillment portal tasks (e.g., marking orders shipped/dispatched) and ensure system status aligns with actual operations.
- Use route-planning and mapping tools (e.g., digital boards, TMS, ERP) to organize daily driver runs, supply them to various pick-up and drop-off locations, and ensure run-lists align with the dispatch platforms.
- Provide real-time support and liaison with drivers during their runs, resolving app & route issues, job changes, cancelations, and escalating errors.
- Coordinate with customer service team, internal and external operations teams to ensure driver-reported issues, cancelations or incidents are captured, communicated, and resolved.
- Continuously monitor and improve dispatch workflows to enhance operational efficiency and service quality.

- You communicate clearly and confidently across all levels — from drivers to internal teams to customers.

Requirements
- Minimum 2-3 years demonstrated experience in logistics operations, dispatch coordination, or operations management (preferably in Australia or a remote context).
- Proficient with data entry & data quality control, dispatch/route systems, job/event creation tools, and data input processes – advanced Excel and spreadsheet skills preferred.
- Excellent written and verbal communication skills — including liaising with drivers, internal stakeholders, and customers.
- Strong organizational capability, attention to detail, and capacity to prioritize in a dynamic environment.
- Self-motivated and able to work effectively in a remote setup, with high productivity and autonomy.
- Adaptable and resilient: comfortable with changing priorities, unexpected cancelations, or route variations.
- Australian citizenship, permanent residency, or a valid work visa with unrestricted work rights
- Teamwork & Leadership Responsibilities
- While working remotely, you’ll regularly collaborate with multiple teams (drivers, customer service, warehouse/fulfillment, internal operations).
- You’ll build relationships, act as an escalation point for driver queries, and support team members in dispatch processes.
- You’ll contribute to process improvement initiatives and may help define or refine operational standards.
- Prior role as Logistics Coordinator, Dispatch Coordinator, or Operations Manager in a logistics/distribution environment.
- Proven track record of working remotely or coordinating operations across distributed teams.
- Proven track record of customer service liaison, driver communications, and system-to-real-world alignment.
- Experience in using scheduling tools for planning and working with various fulfillment or portal systems.
