Key Responsibilities
Logistics Operations
- Prepare and issue customer quotations.
- Receive, verify, and upload shipping and clearance documents.
- Prepare daily progress reports and share updates with customers.
- Follow up with field operations teams to ensure timely clearance of shipments.
- Coordinate delivery of cleared shipments and follow up on delivery notes (DNs).
- Share clearance documents and cost details with the Finance team for invoicing.
- Support the development of risk management plans to ensure operational continuity during emergencies.
- Assist in developing, reviewing, and implementing operational SOPs.
- Analyze the financial impact of proposed logistics or operational changes.
Customer Service
- Manage day-to-day operational relationships with customers.
- Respond to customer queries, concerns, and complaints professionally and promptly.
- Gather operational data and share relevant updates with customers and the Operations Manager.
- Provide regular shipment status updates to customers.
- Support negotiations with suppliers and customers to improve efficiency and service delivery.
- Identify operational gaps and propose practical solutions to the Operations Manager.
Warehousing & Distribution
- Collaborate with the Operations Manager to prepare and process Sales Orders.
- Coordinate and follow up on dispatches.
- Update internal and external stakeholders on dispatch status.
- Follow up on Proof of Delivery(PODs) and reconcile them with Sales Orders.
- Participate in monthly stocktakes and support stock reconciliation exercises.
Requirements for Appointment / Qualifications
- Bachelor’s degree in Supply Chain Management or a related field is a MUST.
- Proficiency in Zoho One is an added advantage.
- High level of integrity and strong ethical standards.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Good interpersonal skills with a team-oriented mindset.
